Moderating Mailman Lists

Certain mailing lists are hosted by our Mailman client. These are sometimes referred to as "Mailman" or "listserv" lists. These can be used to reach a large number of recipients, both with college emails and non-college emails. Some background info on these:

  • Members managed by IIT or Mailman List owners
  • Members may be internal or external
  • The default email address syntax is: listname@lists.hvcc.edu
  • A subject prefix may be added to all list messages (Example: [Employees] Campus Chronicle)
  • Option to moderate messages to the list
  • Option to archive messages to the list
  • Self-subscription options

Prerequisites:

  • The Mailman list will need to be created. If you need the list created, please request a Mailing List request with IIT.
  • You will need to be placed in the Active Directory group of Mailman list owners.
  • You will need the moderator password to the list. If you are a moderator and do not have this, please file a Mailing List request with IIT. IIT will reach out with a secure email.

Navigate to https://lists.hvcc.edu/mailman/admin/nameoflist where you may be first prompted to log in with your college email address and password. Then you will be presented with the Mailman login page where you will enter the password to the list obtained from IIT.


From there, you can navigate to:

List of approved moderators:
Configuration Categories > General Options > The list moderator email addresses (3rd field from top)

List of approved senders:
Configuration Categories > Membership Management > Membership List

  • Flagging and unflagging the “mod” column for members is the only way to control list member moderation. For initial setup, flag all members using the option at the bottom of this page. Then search for each approved sender (one at a time), unflag their mod column and save changes.

Privacy Options:
Configuration Categories > Privacy Options > Sender Filters

  • By default, should new list member postings be moderated?
    • Select Yes so that new members imported into the list are automatically moderated
  • List of non-member addresses whose postings should be automatically accepted
    • A list of non-staff email addresses that need to send to the list unmoderated. (Campus Chronicle, for example)
