Using Intelligent Agents

Intelligent Agents are auto agents working in your course that can send reminders, check in on student progress and automate some course management tasks. They take a little bit of work to set up but once they are created you can let them do the work for you. 

What can they do?

A few uses for Intelligent Agents

  • Check for users that have not logged into the course
  • Check for users that have not logged in for a certain number of days 
  • Notify users when their grade falls to below a set level
  • Congratulate users that have achieved a grade above a certain level 
  • Check that users have viewed a specific content topic

These notifications are generated when the set criteria are met and can send an email to instructors, students and others

Creating an Intelligent Agent

  • On the course NavBar click Manage Course and select Intelligent Agents
  • On your Agent List page, click New Agent
  • Enter the prompted information
    • Name
    • Description
    • Once you are ready for your Agent to run click the Status box to enable, leave this unchecked till you are ready to run the agent
    • Expand the Scheduling section and set the Frequency of how often you want this to run
    • Expand the Criteria section and set according to need
      • Role in Classlist
        • All users in your course (this would include all students along with any TA or Tutor type roles)
        • Users with a specific role (if just students then you would want to select the "HVC - Student (Non-Cascading)" role)
      • Take Action on Activity
        • Use only if you are sending notifications to the users that meet the login parameters set, these are not required so can be skipped if not setting the agent up to check this information
      • Release Conditions
        • ​​​​​​​Click Create to set up parameters by setting the Condition Type from the drop down list and then setting any additional Condition Details
        • Click Create
    • ​​​​​​​​​​​​​Expand the Actions section and set what you want the agent to do with the criteria set
      • Repetition - Select which option fits your criteria best
      • Send an Email use this to send email notifications to the email listed in the Brightspace classlist
        • ​​​​​​​​​​​​​​NOTES: 
          • ​​​​​​​If you want students to be able to reply to your HVCC email you will want to change the default From and Reply settings in on the Intelligent Agents settings page
          • Use the {InitiatingUser} replace string to send to the user that meets the criteria 
          • Use {OrgUnitName} to fill in the name of the course
        • Write out the email you want to send and use replacement strings to personalize what you are sending 
    • Once your Agent is created on the Intelligent Agent page you can view 
      • If the agent is enabled or disabled
      • The results of the last time it ran
      • When it will run again
      • Bulk edit settings for the agents
      • Under More Actions you can download a detailed history of when agents have run and who met met their criteria
